General Statement Of Duties

Under the general direction of the Deputy Compact Administrator for Probation, this position provides case tracking, support, training and database technical assistance to Colorado Interstate Compact state probation departments.

Distinguishing Factors

This position is distinguished from an Administrative Assistant by the wider range and higher complexity of duties and independent judgement involved in carrying out assignments.

Essential Functions Of the Position

Review and process incoming and outgoing interstate transfers to ensure accuracy, timeliness and compliance with all Interstate Compact rules.

Serve as a lead in developing and updating training material.

Co-facilitate ongoing training of Interstate Compact staff and criminal justice personnel statewide on the Interstate Compact rules and use of the Interstate Compact Offender Tracking System (ICOTS).

Coordinate support services pertaining to Interstate Compact rules and ICOTS.

Assist in evaluating and identifying user training needs.

Answer inquiries regarding Interstate Compact probation through proficient knowledge of the Interstate Compact rules and Colorado Interstate Compact procedures.

Provide state level help desk technical assistance to probation personnel throughout Colorado regarding ICOTS.

Reviews and responds to incoming correspondence and reports, electronic mail and telephone inquiries pertaining to a variety of interstate compact issues. 

Perform periodic reconciliation of the compact records in ICOTS with district probation department records located in Eclipse.

Work with adult probation officers and members of the criminal justice system nationwide for the successful administrative support of Interstate Compact services, including proper and expeditious handling of all case records.

Works closely with the Colorado Interstate Parole Office, in regards to dual supervision cases and the oversight of the Colorado Compact.

Attends meetings and training as required.

Perform other duties as required.

Supervisor Responsibilities

Responsible for one’s own work product and may provide assistance or mentorship to less knowledgeable or experienced coworkers, volunteers or interns.

Minimum Education

Graduation from an accredited college or university with an associates degree in the field of criminal justice, Sociology, or related field. Years of experience within probation may be substituted for educational experience on a year by year basis.  One year of experience working directly with trial courts, probation or the Eclipse system is preferred.  Familiarity with the Interstate Compact preferred.

Physical Demands

While performing the duties of this job, the employee is regularly required to talk or hear.  The employee frequently is required to use hands and fingers and reach with hands and arms.  The employee is occasionally required to stand and reach with hands and arms.  The employee must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and ability to adjust focus.

Work Environment

The noise level in the work environment is usually quiet.  This position is subject to varying and unpredictable situations; may handle emergency or crisis situations; is subject to many interruptions, may handle multiple calls and inquires simultaneously; and may occasionally handle absentee replacement or short notice.  This position is housed primarily at Judicial and requires compliance with both Judicial and the Interstate Compact practices and policies.
